Vice President

1. Role

To represent the interest of current and future WelTec students by:

  • Attending all Academic Board meetings.
  • Having a clear understanding of Academic issues at WelTec.
  • Monitor the Academic and Quality standards for courses run within WelTec – via Class Representative Reports and meetings.
  • To promote WSA members views to the Academic Board.

2. Report

  • To the President on any issues which may arise and accountability to the student body via the Executive Council meetings.

3. Assist:

In providing guidelines and formulating policies for the Association and for the staff via the Executive Council – including assisting in the financial running of the Association and setting of budgets, management documents etc.

  • With student's issues, campaigns, functions, posters and newsletters and information as required.
  • With other portfolio duties when requested by the President.
  • Help monitor the Association finances and act as a cheque signatory for approved Association expenditure when required.
  • With any writing proposals in conjunction with the President where necessary.

4. You need to:

  • Act as an Official Spokesperson for WSA in the absence of the President.
  • Develop a clear understanding and knowledge of the WSA Constitution and Policies.
  • Develop a relationship with students, seeking their opinions on Academic issues which affect them.
  • Be accessible to all members, including those of satellite campuses.
  • Report into the office at least weekly, to update the President on WSA affairs.
  • Attend all scheduled WSA Executive Council Meetings and Management meetings.
  • Attend all scheduled WelTec Academic Meetings.
  • Submit reports to each WSA Executive Council meetings on Academic Meetings and a General Report on happenings within WSA.
  • Develop a sound understanding of the Association and attend any appropriate training, so that should the need arise you are able to assume the role and duties of the President.
  • Ensure that you are fully conversant with the proceedings of any meetings that you are unable to attend.

5. Conditions of office

Hours: Up to 5 hours per week.
Remuneration:

  • You shall receive an honorarium in the amount and form as per level set by previous administration and as outlined in the WSA Financial Policy.
  • Travel and other expenses incurred while on Association business will be reimbursed as per the WSA Financial Management Policy.

Treasurer

1. Role

To coordinate the preparation of the next years budget with the Office Manager, President and Vice President via:

  • Attend all EEdo meetings with the Office Manager.
  • Having a clear understanding of financial accounts.
  • Having a clear understanding of Audit and end of year financial accounting.
  • Having a clear understanding of the WSA Constitution and Management Document.

2. Report

To the President on any Financial issues which may arise and accountability to the student body via the Executive Council meetings.

3. Assist:

In providing guidelines and formulating policies for the Association and for the staff via the Executive Council – including assisting in the financial running of the Association and setting of budgets, management documents etc.

  • Help Executive members who are account managers to create and maintain their budget.
  • Reporting to the Executives regarding the financial implications of any decisions or proposals submitted.
  • Help monitor the Association finances and act as a cheque signatory for approved Association expenditure when required.
  • With any writing proposals in conjunction with the President where necessary.
  • With other portfolio duties when requested by the President.

4. You need to:

  • Develop a clear understanding and knowledge of the WSA Constitution and Policies.
  • Be accessible to all members, including those of satellite campuses.
  • Report into the office at least weekly, to update the President on WSA affairs.
  • Attend all scheduled WSA Executive Council Meetings and Management Meetings.
  • Submit reports to each WSA Executive Council meetings on the Financial Affairs within WSA and monthly expenditure.
  • Develop a sound understanding of the Association and attend any appropriate training, so that in the absence of the President and Vice
  • President and where the need arise you are able to assume the role and duties of the President.
  • Act as an Official Spokesperson for WSA in the absence of both the President and Vice President.
  • Liaise with the Office Manager and the WSA Accountant.
  • Attend all Executive Council meetings and any other meetings of committees that you attend on behalf of WSA.
  • Be fully conversant with matters of importance before the Executive meetings and read all relevant papers before meetings.
  • Ensure that you are fully conversant with the proceedings of any meetings that you are unable to attend.

Women's Rights Executive:

1. Role

The Woman Rights (WR) executive is to represent Women students studying at WelTec. This includes, but is not limited to:

  • Liaising and attending meetings with the National Student Body on women’s campaigns and lobbying.
  • Organising women’s events.
  • Networking with community groups working on women’s issues.

2. Report

The WR executive is to report to the President on any women’s issues that may arise. It is the WR executive’s responsibility to raise these issues from the involved student to the whole executive team via Executive Council meetings.

3. Assist:

Assist WelTec Student Association by monitoring female students with regards to equity within WelTec and to make recommendations for action to the Executive Council as necessary.

Other assistance
Other assistance includes, but is not limited to:

  • Assist the President with any writing proposals where necessary and in conjunction with female students.
  • With other portfolio duties when requested by the President.
  • Assist in proceedings of 2nd trimester orientation and ensure meet your executive is conducted during the 2nd trimester orientation.

4. You need to:
What needs to be done includes, but is not limited to:

  • Develop a clear understanding and knowledge of the WSA Constitution.
  • Become familiar with the operation and functioning of the Student Association.
  • Act as an official spokesperson for all the WR as a whole, on behalf of WSA.
  • To be accessible to all members, including those of satellite campuses.
  • Report into the office weekly to update the President on any issues relating to the WR portfolio.
  • Liaise with the staff and students, and attend any meetings that are beneficial to the WR Executive portfolio.
  • Develop a sound understanding of the Association and attend any appropriate training.
  • Attend all Executive Council meetings and any other meetings of committees that you attend on behalf of WSA.
  • Be fully conversant with matters of importance before the Executive meetings and read all relevant papers before meetings.
  • Ensure that you are fully conversant with the proceedings of any meetings that you are unable to attend. 

5. Conditions of office

Each executive needs to do up to five hours in the Office per week. There is an exception to this. 

What do we do
Spend up to five hours in the Student Association office at Petone Campus. There are no requirements of what should be done, but there are a few suggestions.

  • Take over from Staci while she takes a break.
  • Clean and tidy office including kitchen area.
  • Liaise with President if any issues arise in the office.
  • Assist in general running of office e.g. banking, mail etc

6. Remuneration:

Travel and other expenses incurred while on Association business will be reimbursed as per the WSA Financial Management Policy.  You will receive a mid-year honorarium payment after Trimester 1. This will not exceed the amount of four percent (4%) of the Gross Operating Funds.  You will also receive an end of year honorarium payment after Trimester 2. This will not exceed the amount of four percent (4%) of the Gross Operating Funds. There are conditions to receiving this honorarium.
 
Conditions to end of year honorarium
You will not receive your end of year honorarium payment if you have not completed and handed in your transition folder.

7. End of year Transition folder:

This folder will include, but not limited to:

  • Information about any improvements to your role.
  • Any changes made to the role throughout the year.
  • Any events that were held during the year, whether they were successful or not.
  • Proposals from the student body that were acted on and those not acted upon and reasons why.

This end of year transition folder needs to be handed in as a hard and soft copy via email to Therese at therese.keil@weltec.ac.nz.

Maori Executive:

1. Role

The Maori Executive is to represent the interests of current and future Maori students at WelTec through the promotion of policy that encourages and maintains Maori culture and identity within the student body.

2. Report

The Maori Executive is to report to the President on any Maori issues which may arise and accountability to the student via the Executive Council meetings.

3. Assist

The Maori executive is to assist WelTec Students Association by monitoring all Maori students with regards to equity within WelTec and to make recommendations for action to the Executive Council when and if necessary.

Other Assistance
Other assistance includes but is not limited to:

  • Providing guidelines for the Association on Maori issues.
  • Assist the President with any writing proposals where necessary and in conjunction with Maori students.
  • Help with other portfolio duties when requested by the President.
  • Assist in proceedings of 2nd trimester orientation and ensure meet your executive is conducted during the 2nd trimester orientation. 

4. You need to

  • Develop a clear understanding and knowledge of the WSA Constitution and the Te Mana Akonga Constitution.
  • Be required to represent Maori students studying at WelTec on Te Mana Akonga and facilitate communication of Maori issues between the students’, Te Mana Akonga and WSA Executive Council.
  • Familiarise yourself with the effective operation and functioning of the Association.
  • Develop a relationship with Te Mana Akonga on Maori issues, liaise with Te Mana Akonga and attend any meetings that are beneficial to the Maori Executive portfolio.
  • Act as an official spokesperson for all or any Maori issues on behalf of WSA.
  • Develop relationships with Maori students’, seeking their opinions on issues, which affect them.
  • Promote Maori issues within the Association and WSA.
  • To be accessible to all members, including those of satellite campuses.
  • Report into the office weekly to update the President on any issues relating to Maori needs and student achievements.
  • Submit reports to each WSA Executive Council meetings on Te Mana Akonga affecting Maori students’ studying at WelTec.
  • Develop a sound understanding of the Association and attend any appropriate training.
  • Attend all Executive Council meetings and any other meetings of committees that you attend on behalf of WSA.
  • Be fully conversant with matters of importance before the Executive meetings and read all relevant papers before meetings.
  • Ensure that you are fully conversant with the proceedings of any meetings that you are unable to attend.

5. Conditions of office

Each executive needs to do up to five hours in the Office per week, although there is an exception to this.

What do we do:
There are no set requirements of what should be done, but there are a few suggestions.

  • If desk is unattended at the time, step in
  • If kitchen area is untidy, clean it
  • If there are any issues that need handling, do them
  • Help the President by dealing with any concerns of students
  • Go and get the mail

6. Remuneration

Travel and other expenses incurred while on Association business will be reimbursed as per the WSA Financial Management Policy.  You will receive a mid-year honorarium payment after Trimester 1. This will not exceed the amount of four percent (4%) of the Gross Operating Funds.

You will also receive an end of year honorarium payment after Trimester 2. This will not exceed the amount of four percent (4%) of the Gross Operating Funds. There is a condition to receive this honorarium.

Conditions to end of year honorarium
You will not receive your end of year honorarium payment if you do not give in a hand over folder. 

7. End of year Handover folder
This folder will be handed in at the end of the year. This folder will include, but is not limited to:

  • Any information that needs to be handed over to the next executive.
  • Any changes made to the role.
  • Any events that were held during the year, whether they were successful or not.
  • A brief on events that worked and did not work
  • Any proposals that were brought forward by you.

This end of year handover folder needs to be handed in as a hard and soft copy. This means that the handover folder must be handed in inside the lever arch folder provided and also sent via email to Therese at therese.keil@weltec.ac.nz.


Pasifika Executive:

1. Role

The Pasifika Executive is to represent the interests of current and future Pasifika students at WelTec. 
This can be done by, but is not limited to:

  • Promotion of policy that encourages and maintains Pasifika culture which is identifiable within the student body.

2. Report

The Pasifika Executive is to report to the President on any Pasifika issues that may arise. It is the Pasifika executive’s responsibility to arise these issues from the involved student to the whole executive team via Executive Council meetings. .

3. Assist:

The Pasifika Executive’s assistance to Pasifka students includes, but is not limited to:

  • Communicating Pasifika issues between the Students and the WSA Executives
  • Liaising with the Pasifika Centre
  • Attending any Fono’s held in the Pasifika Centre 

Other assistance:
The Pasifika Executive’s other assistance criteria includes, but is not limited to:

  • Assist other portfolio duties when requested by the President.
  • Provide guidelines and formulate policies for the Association on Pasifika issues. 
  • Provide guidelines and formulate policies for the Staff on Pasifika issues.
  • Assist in proceedings of 2nd trimester orientation and ensure meet your executive is conducted during the 2nd trimester orientation.

4. You need to:
What needs to be done includes, but is not limited to:

  • Develop a clear understanding and knowledge of the WSA Constitution.
  • It is compulsory to represent Pasifika students studying at WelTec.
  • It is compulsory to assist communication of Pasifika issues between the students’, the Pasifika Centre and the WSA Executive Council. These issues must be brought forward at an executive council meeting. 
  • Become familiar with the operation and functioning of the Student Association. 
  • Develop a relationship with the Pasifika Centre on Pasifika issues, liaise with the staff and students and attend any meetings that are beneficial to the Pasifika Executive portfolio.
  • Act as an official spokesperson for all or any Pasifika issues on behalf of WSA. 
  • Develop relationships with Pasifika students’, seeking their opinions on issues, which affect them.
  • Network and communicate with campaigns, education and other initiatives in regards to Pasifika issues within the Association and WSA.
  • To be accessible to all members, including those of satellite campuses.
  • Report into the office weekly to update the President on any issues relating to the Pasifika Portfolio.
  • Submit reports to each WSA Executive Council meetings on Pasifika students studying at WelTec issues, improvements and complaints they have if necessary.
  • Develop a sound understanding of the Association and attend any appropriate training.
  • Attend all Executive Council meetings and any other meetings of committees that you attend on behalf of WSA.
  • Be fully conversant with matters of importance before the Executive meetings and read all relevant papers before meetings.
  • Ensure that you are fully conversant with the proceedings of any meetings that you are unable to attend.

The International Executive is to represent the interests of current and future International students at WelTec through the promotion of policy that encourages and maintains International identity within the student body, with special emphasis on integration and participation, within the student body at WelTec..

2. Report

The International executive is to report to the President on any International issues that may arise. It is the International executive’s responsibility to arise these issues from the involved students to the whole executive team via Executive Council meetings.

3. Assist 

Assist WelTec Student Association by monitoring all International students with regards to equity within WelTec and to make recommendations for action to the Executive Council when and if necessary..

4. Other assistance will be: 
Other assistance includes, but is not limited to:

  • Assist the President with any writing proposals where necessary and in conjunction with international students.
  • With other portfolio duties when requested by the President.
  • Assist in proceedings of 2nd trimester orientation and ensure meet your executive is conducted during the 2nd trimester orientation.

  • Liaise with the staff and students, and attend any meetings that are beneficial to the International Executive’s portfolio.
  • Develop a sound understanding of the Association and attend any appropriate training.
  • Attend all Executive Council meetings and any other meetings of committees that you attend on behalf of WSA.
  • Be fully conversant with matters of importance before the Executive meetings and read all relevant papers before meetings.
  • Ensure that you are fully conversant with the proceedings of any meetings that you are unable to attend.
  • Represent International students studying at WelTec and facilitate communication of any issues between students, International Co-ordinators and WSA Executive Council.
  • Hold events that will help the International students communicate their issues and opinions that affect them.
  • Submit end of year reports on the International students studying at WelTec.

UniQ Executive:

1. Role

The Welfare Executive has two sub-roles. These are: 

  • Uni Q Representative
  • Welfare

Uni Q
The Welfare executive is to represent the queer community as a whole (gay and lesbian sector etc.) of the student body through promotions of policy that encourage and maintains the identity and equity within the student body at WelTec. 

Welfare
The Welfare executive is to advocate for all students needs that will affect their studies.

2. Report

The Welfare executive is to report to the President on any Welfare and Uni Q issues that may arise. It is the Welfare executive’s responsibility is to raise these issues from the involved student to the whole executive team via Executive Council meetings.

3. Assist:

The Welfare executive is to assist the WelTec Students Association by monitoring all gay and lesbian students with regards to equity within WelTec and to make recommendations for action to the Executive Council as necessary. This includes, but is not limited to:

  • Reminding staff to elect/select class representatives, and to support and provide supplementary material. 

Other assistance
Other assistance includes, but is not limited to:

  • Assist the President with any writing proposals where necessary and in conjunction with Queer students.
  • Ensuring that class representatives are adequately recognised and thanked for their contribution.
  • Assist in proceedings of 2nd trimester orientation and ensure meet your executive is conducted during the 2nd trimester orientation.
  • Assist the Vice President with Class Representatives and WSA awareness at the beginning of each semester.
  • Assist and maintain the operation of the WSA Food Bank along with the president.

4. You need to:
What needs to be done includes, but is not limited to:

All Roles

  • Develop a clear understanding and knowledge of the WSA Constitution.
  • Become familiar with the operation and functioning of the Student Association
  • Act as an official spokesperson for all the entire Queer Student Body as a whole, Women’s Rights and Educational Issues on behalf of WSA.
  • Record all issues and complaints that arise through the Class Representative System to assist recurring issues and complaints.
  • To be accessible to all members, including those of satellite campuses.
  • Report into the office weekly to update the President on any issues relating to the Welfare portfolio.
  • Liaise with the staff and students, and attend any meetings that are beneficial to the Welfare Executive portfolio. 
  • Develop a sound understanding of the Association and attend any appropriate training.
  • Attend all Executive Council meetings and any other meetings of committees that you attend on behalf of WSA.
  • Be fully conversant with matters of importance before the Executive meetings and read all relevant papers before meetings. 
  • Ensure that you are fully conversant with the proceedings of any meetings that you are unable to attend. 

Uni-Q

  • Maintain the Uni-Q Web Page on Facebook
  • Attend the Uni-Q Yearly Conference and any related meetings
  • Organise a Queer Event
  • Develop a relationship with both National and the part of the student body that is applicable to the Uni-Q role
  • Develop relationships with any queer students, seeking their opinions on issues, which affect them. 
  • Submit reports to each WSA Executive Council meetings

1. Role 

To represent the interests of current and future disabled students at WelTec through the promotion of policy that encourages and maintains identity within the student body.

  •  Attending any meetings with the Disability co-ordinator located in the Learning Commons.

2. Report

The Disability executive is to report to the President on any Disability issues that may arise. It is the Disability executive’s responsibility to arise these issues from the involved students to the whole executive team via Executive Council Meetings.

3. Assist

Assist WelTec Student Association by monitoring all Disability students with regards to equity within WelTec and to make recommendations for action to the Executive Council when and if necessary..

4. Other assistance includes but is not limited to:

  • Assisting the President with any written proposals where necessary and in conjunction with Disability Students.
  • With other portfolio duties when requested by the President.
  • Assist in proceedings of 2nd trimester orientation and ensure meet your executive is conducted during the 2nd trimester orientation.

5. You need to:

  • Develop a clear understanding and knowledge of the WSA Constitution.
  • Become familiar with the operation and functioning of the Student Association.
  • Act as an official spokesperson for all students or all Disability students on behalf of WSA.
  • To be accessible to all members, including those of satellite campuses.
  • Report into the office to update the President on any issues relating to the Disability. portfolio. This is only necessary when any issues have been brought to the Disability Executive.
  • Promote through campaigns, education and other initiatives involving Disability issues within the Association and WSA.
  • Liaise with the staff and students, and attend any meetings that are beneficial to the Disability Executive portfolio.
  • Develop a sound understanding of the Association and attend any appropriate training.
  • Attend all Executive Council meetings and any other meetings of committees that you attend on behalf of WSA.
  • Be fully conversant with matters of importance before the Executive meetings and read all relevant papers before meetings.
  • Represent disabled students studying at WelTec and facilitate communication of any issues between students, Disability Co-ordinators and WSA Executive Council.
  • Develop a trusting, friendly relationship with the Disabled students which will help you to seek their opinions on issues that affect them.
  • Submit end of year reports on the disabled students studying at WelTec.

Exceptions
If you are based at another campus (E.G Town campus), you are to raise this issue at the first meeting. This will give you an exception as you are unable to travel to Petone for five hours a week. If you do receive this exception, it is expected that you take the initiative to deal with any concerns of students or issues that may arise at the Campus you are based at.

7. Remuneration

Travel and other expenses incurred while on Association business will be reimbursed as per the WSA Financial Management Policy.   You will receive a mid-year honorarium payment after Trimester 1. This will not exceed the amount of four percent (4%) of the Gross Operating Funds.

You will also receive an end of year honorarium payment after Trimester 2. This will not exceed the amount of four percent (4%) of the Gross Operating Funds. There are conditions to receiving this honorarium. 

Conditions to end of year honorarium

You will not receive your end of year honorarium payment if you have not completed and handed in your transition folder.

8. End of year Transition folder

This folder will include, but not limited to:

  • Any changes made to the role throughout the year.
  • Any events that were held during the year, whether they were successful or not.
  • Proposals from the student body that were acted on and those not acted upon and reasons why. 

This end of year transition folder needs to be handed in as a hard and soft copy via email to Therese. at therese.keil@weltec.ac.nz.


Campaign and Education Executive

1. Job Description

The Campaigns/education executive is to ensure that the WelTec Student Association recognises and participates in campaigns that have an effect on tertiary students studying at WelTec. They also need to improve and facilitate informal communication and collaboration between WelTec Students and teaching staff.

This includes, but is not limited to: 

  • Promotion of awareness and ensuring that tertiary issues that affect students are represented on campus and in the wider community.
  • Ensuring that students have a voice
  • Ensuring students have access to channels of communication allowing their opinions to be heard and their issues addressed.

2. Report 

The Campaigns/Education executive is to report to the President on any Campaign issues which may arise and accountability to the student via the Executive Council meetings.

3. Assist

The Campaigns/Education executive is to support other Executive members in their portfolios and ensure that WSA staff has a clear understanding of Campaign/Education procedures and liaise with the President on setting up a Campaign/Education Policy. Liaise with the WSA Website, and other marketing opportunities within WelTec.

4. Other assistance includes but is not limited to:

  • Assist the President with writing proposals where necessary and in conjunction with any Media issues which may affect students’ studying at WelTec.
  • With other portfolio duties when requested by the President.
  • Assist in proceedings of 2nd trimester orientation and ensure meet your executive is conducted during the 2nd trimester orientation.

5. You need to: 

  • Develop a clear understanding and knowledge of the WSA Constitution.
  • Organise and participate in activities, events and campaigns approved by the WSA Executive.
  • Publicise upcoming campaigns and events through notice boards and other appropriate media within WelTec.
  • Familiarise yourself with the effective operation and functioning of the Association.
  • Act as an official spokesperson for all or any Campaign issues on behalf of WSA.
  • Develop relationships with students’, seeking their opinions on campaigns issues, which affect them.
  • Promote through other initiatives any issues within the Association and WSA.
  • To be accessible to all members, including those of satellite campuses.
  • Report into the office weekly to update the President on any issues relating to Campaigns needs and student achievements.
  • Develop a sound understanding of the Association and attend any appropriate training.
  • Attend all Executive Council meetings and any other meetings of committees that you attend on behalf of WSA.
  • Be fully conversant with matters of importance before the Executive meetings and read all relevant papers before meetings.
  • Ensure that you are fully conversant with the proceedings of any meetings that you are unable to attend.
  • Ensure all students have a voice
  • Ensure the education is up to standards and find ways to solve education problems if they arise.

6. Office Hours

Each executive needs to do up to five hours in the Office per week. There is an exception to this.

Sports Coordinator Executive

1. Role

The sports executive is to represent the sporting and recreation interests of current and future WelTec students through promoting a vibrant and dynamic sporting program. Facilitate communication of sport and recreation issues between students and the WSA Executive Council.

2. Report

The sports executive is to report to the President on any sport and recreation issues which may arise to the student body via the Executive Council meetings.

3. Assist:

The sports executive is to assist the Administration person and President in organising sponsorship for team registration, uniforms and other cost related to issues. If the sports executive is unable to find way in promoting sports, he/she is to turn to the Campaigns/Education executive to help in the promotion of sports teams and fixtures.

Other assistance
Other assistance includes, but is not limited to:

  • With other portfolio duties when requested by the President.
  • Assist in proceedings of 2nd trimester orientation and ensure meet your executive is conducted during the 2nd trimester orientation.

  • Be fully conversant with matters of importance before the Executive meetings and read all relevant papers before meetings.
